Privacy policy

Last updated 13 October 2026

This policy explains what personal information KAIZONE uses, why, where it’s kept, and the choices you have. KAIZONE is built so your training data stays on your phone unless you choose to back it up.

1The short version

  • Your plan, workouts, food diary, measurements and progress photos are stored on your phone. We can’t see them.
  • To use your own plan, you create an account with your name, email address and a password.
  • Backup to your account is optional and needs your clear agreement, because it includes health information. Backing up progress photos is a separate choice.
  • We don’t sell your information, show adverts, or use tracking or analytics.
  • You can export your data, turn off backup or delete your account at any time in the app.

2Who we are

KAIZONE is run by Matthew Wildig, a sole trader trading as KAIZONE, based in Diss, Norfolk, United Kingdom. Matthew Wildig is the controller of your personal information, which means he decides how it’s used and is responsible for protecting it under UK data protection law (the UK GDPR and the Data Protection Act 2018).

For anything about your information, email hello@kaizone.co.uk.

3Information kept on your phone

KAIZONE keeps your training information in your browser’s storage on your phone. This includes your name, health-check answers, training plan and workouts, food diary and water, weigh-ins, body measurements, readiness scores, 6-weekly test results, progress photos and settings.

This information isn’t sent to us unless you turn on backup (see below), and we have no way to see it. Anyone who can unlock your phone and open KAIZONE could see it, so keep your phone locked. Clearing your browser’s website data can delete it, so export a backup file regularly from Profile & settings.

The demo uses made-up sample data only.

4Your account

When you register we collect your name, email address and a password. Your password is stored only in a scrambled form (a one-way hash) that can’t be turned back into the password, and we never see it. We also keep a record of when you agreed to things in the app, such as turning on backup.

We use this to create your account, log you in, keep your account secure and send the emails you need, such as confirming your email address and resetting your password. We don’t use your account email address for marketing.

Lawful basis: it’s needed to provide the account you’ve asked for (contract).

5Backup and sync (optional)

If you turn on backup, KAIZONE keeps a copy of your information in your account so it’s safe if you lose or change your phone and stays the same on every phone you log in on. The copy includes your plan and settings, workouts, food diary and water, weigh-ins, body measurements, readiness scores, test results, activities you’ve added, your own foods and favourites, mobility progress, shopping list, week plans and health-check answers (including earlier answers if you change them).

Some of this is health information, which the law treats as special category data. We only store it with your explicit consent, which you give by ticking the agreement box when you turn on backup. We record when you agreed.

You can turn backup off at any time in Profile & settings › Data & privacy. This withdraws your consent and deletes the copy in your account straight away. Your information stays on your phone. Once consent is withdrawn, our database refuses to store anything more from your account.

Lawful basis: your consent, and your explicit consent for health information.

6Progress photo backup (optional)

Progress photos stay on your phone unless you also turn on Back up progress photos, which asks for its own consent. Backed-up photos are kept in a private folder in your account that only you can open when logged in. They appear on your other phones too.

You can stop at any time in Profile & settings. This deletes the photos from your account. They stay on your phone.

Lawful basis: your consent.

7Food search and barcode scanning

When you search for a food or scan a barcode, the search words or barcode number are sent to Open Food Facts (openfoodfacts.org), a non-profit food database, to look up nutrition information. Your name and account details aren’t sent. Like any website, Open Food Facts receives your device’s internet (IP) address when it answers.

The barcode scanner uses your camera on your phone only. Camera images aren’t sent anywhere.

8If you email us or join the early access list

If you email hello@kaizone.co.uk, we use your email address and message to reply. We keep the conversation for up to 2 years after we last hear from you, in case you follow up, then delete it.

Lawful basis: our legitimate interest in answering your questions.

If you join the early access list on kaizone.co.uk, we keep your email address and the date you joined. We use it only to tell you when the KAIZONE iPhone app launches and about major KAIZONE news. We don’t share it with anyone else. Every email we send has a way to unsubscribe, or you can email us to be removed at any time.

Lawful basis: your consent, which you give by joining the list. You can withdraw it at any time.

9Technical information

When KAIZONE loads or connects, the services that run it receive your device’s IP address and basic browser details, as with any website. This is used only to deliver the app and keep it secure, and the providers keep it in short-lived logs.

Cookies and storage: KAIZONE doesn’t use cookies for tracking or advertising. It uses your browser’s storage to hold your data and keep you logged in. That storage is needed for the app to work, so there’s no cookie banner.

Lawful basis: our legitimate interest in running a secure service.

10Companies that help run KAIZONE

We use these providers. They only use your information to provide their service to us, under contracts that require them to protect it.

Open Food Facts (see above) is an independent organisation in France, not one of our providers.

Several of these companies are based in the United States, so your information may be accessed from or transferred outside the UK. When that happens it’s protected by safeguards approved under UK law, such as the UK–US data bridge or the UK’s standard data protection clauses.

We never sell your information or share it for advertising.

11How long we keep it

  • Your account: until you delete it.
  • Backup: until you turn backup off or delete your account.
  • Backed-up photos: until you stop photo backup, delete the check-in, or delete your account.
  • Records of what you agreed to: deleted with your account.
  • Emails to us: up to 2 years after we last hear from you.
  • Early access list: until you unsubscribe or ask to be removed, or until we close the list.
  • Providers’ technical logs: a few days.

Information on your phone stays there until you delete it. We can’t delete it for you.

12Deleting your account

Go to Profile & settings › Delete account. This permanently deletes your login and everything in your account, including backed-up photos, and removes your data from that phone. If you’ve used KAIZONE on another phone, the copy on that phone stays until you delete it there. Deleting your account can’t be undone.

13Your rights

You have the right to:

  • get a copy of your information
  • have it corrected
  • have it deleted
  • restrict or object to how it’s used
  • receive it in a format you can take elsewhere
  • withdraw your consent at any time (this doesn’t affect anything done before you withdrew)

You can do most of this yourself in the app: export your data, edit it, turn off backup or delete your account. For anything else, email hello@kaizone.co.uk. It’s free, and we’ll reply within one month. We may need to check it’s really you first.

If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

14Age limit

KAIZONE is for people aged 18 and over. We don’t knowingly collect information about anyone younger. If we find we have, we’ll delete it.

15Keeping it safe

Everything between the app and our providers travels over encrypted connections. Passwords are hashed. Database rules mean each account can only reach its own information, and backed-up photos are kept in private storage.

You can help by keeping your phone locked and using a password you don’t use anywhere else.

16Automatic calculations

KAIZONE works out your calorie targets, training plan and weights automatically from what you tell it. These are suggestions you can change at any time. KAIZONE doesn’t make decisions that have legal or similarly significant effects on you.

17Changes to this policy

If we change this policy we’ll update this page and the date at the top. If a change is significant, we’ll also tell you in the app.
